Keeping Your Daily Calendar in Check

Many of us like to be involved in a variety of activities throughout a normal day. However, with the wrong calendar in place, you can quickly lose track of where and when you are supposed to be. Here I will go through some quick organization tips that will save you time and keep your head on straight!



Pick one calendar system

Do you like iCal? Maybe you are more of a Google Calendar type? The easiest way to

consolidate your calendars is to start with your most-used platform. For example, our company runs on Google Calendars since we use the Gmail system, so I have adjusted all of my other calendars to integrate into Google Calendar.


Give your calendar some color

The easiest way to see what you have going on in your day is to color code based on activity. You can have one color for personal activities, one color for work activities, one color for kid’s activities, etc. By color coding, you will be able to take a quick glance at your calendar in the morning and know exactly what each activity is for and how long they will take. It is a great way to get a wide overview of the day.


The best part about color coding is that you can have as many or as few color options as you would like. If you prefer to be very detailed and create colors for admin work tasks and marketing tasks, you can create those subdivisions within your “work” color without changing your organization system. If you prefer to keep the categories broad, you can work with a wider array of tasks within one color.



Block off unavailable hours

Do you sleep a set number of hours per night? Do you give yourself a few hours of private time in the morning? Block those hours off stating why you cannot schedule things during that time frame. If you want to start your work tasks at 8am, but wake up at 6am, set a calendar event every day

from 6-8am titled “Personal Time” so you, and everyone else looking at your calendar, will know those spots are not available.


By setting limits on when you are able to schedule things into your day, you create a more productive schedule. Instead of working admin tasks in between meetings with clients, you can simply have a time chunk for “Client Meetings”.


Use a calendar assistant

There have been many people who have created new calendar systems to help your life easier. My preferred calendar assistant is Calendly. Calendly allows you to send links to your friends, clients, and associates so they can pick an open time in your schedule. It links to your preferred calendar of choice so you can be sure there will be no double-booking happening on your watch! Calendly makes scheduling easier and saves you time by skipping over the tedious task of presenting options back and forth from one person to the next.



While we all have very busy schedules, it can be a much more pleasant experience to schedule things when you have some organization to your calendar.
